
We are seeking reliable, proactive and high quality administrative and coordination support across our Sydney business team. As a Team Assistant, your role is helping the teams operate efficiently and deliver excellent outcomes for clients and internal stakeholders.
The role is a key support point for day today business operations including supporting key executives, Charles Wu and Louise Hulley.
Key responsibilities
Team and administrative support
- Provide day-to-day administrative support to assigned teams, leaders and project groups.
- Manage calendars, schedule meetings and coordinate internal and external appointments as required.
- Monitor shared inboxes, respond to routine queries and escalate matters appropriately.
- Support smooth office operations by completing administrative tasks accurately and on time.
Meeting and workflow coordination
- Assessing and prioritising requests to facilitate the optimal use of their executive’s
- Managing the executive/s diary, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda.
- Coordinate meeting logistics, including room bookings, technology set-up, agendas and supporting materials.
- Prepare and distribute meeting papers, packs and follow-up documentation in a timely manner.
- Capture actions, track progress and assist team members to follow through on agreed deliverables.
Document, reporting and presentation support
- Prepare, format and quality check documents, correspondence, reports and presentations.
- Maintain consistent document standards, including version control, naming conventions and record keeping.
- Assist with data collation, simple reporting and preparation of routine business updates.
- Ensure all work is accurate, well-presented and aligned to internal templates and brand standards.
Office general
- Overseeing and coordinating the delivery of administrative and support services to ensure that business needs are met, including first level IT support, invoicing, and supplier payments.
- Maintaining and updating administrative practices, systems and procedures to improve efficiency and service delivery and ensure compliance with Frontier’s standards, policies and procedures.

Knowledge/skills/experience
The following capabilities are requirements of the position:
- High levels of computer literacy including knowledge of the Microsoft Office Suite.
- Previous administrative experience in a professional services.
- Diary and calendar management experience coordinating meetings, managing conflicting priorities, and arranging travel.
- Document and correspondence management – formatting proposals, reports, presentations, and client communications.
- Stakeholder coordination – liaising with clients, executives, and internal teams in a professional environment.
